The Project Accountant is responsible for providing financial support to the project team by overseeing invoicing, payments/collections, and expense review from our clientele. The Project Accountant initially engages in ensuring all contractual agreements are in compliance with clientele, and provides information and instructions to the project teams. Based on the outlined terms and conditions, the Project Accountant will submit invoices, pursue payment, and provide financial analysis for budgets, job costs, and accounts receivables. This position will work closely with the Market Director and Accounting / Financial Manager in supporting Operations, Production, and Project Coordinators.

Responsibilities:

  • Prepare invoicing packages based on nature of services
  • Create invoices according to business practices; submit invoices to customers
  • Draft correspondences for standard past-due accounts and collections; identifies delinquencies
  • Direct billing inquiries to the appropriate parties in the pursuit of resolving account discrepancies
  • Maintain and/or update customer records, including name and address changes
  • Collaborates with and leverages Business Development support to reconcile accounts receivable delinquency
  • Assemble reports regarding the current status of customer accounts as requested
  • File mechanical liens and navigate demands from legal representatives
  • Prepare contracts and agreements for a variety of services with varied complexities while ensuring production is in compliance
  • Occasionally travel to project sites for job status review
  • Assist with job cost analysis, profit margin and revenue reporting, and development of purchase orders
  • Obtain building permits, track licensing, and provide certificates of insurance
  • Communicate with the production team throughout permit application process while preventing procedural delays

Qualifications:

  • General knowledge of service offerings, industry standards, and market expectations
  • Practical application and working understanding of AIA documents, ordinance and compliance regulations, and DCP procedures
  • Excellent written and verbal communication skills with the ability to communicate professionally
  • Superb organizational and time management skills with an emphasis on accuracy and attention to detail
  • Strong sense of urgency and problem-solving skills
  • Highly motivated; able to work independently and in a team environment
  • Highly dependable and reliable with regards to work schedule and ability to meet project deadlines
  • Demonstrated expertise, and commitment to, providing an extremely high level of customer service
  • Exhibits active listening skills
  • Proficient in data entry

Qualifications:

  • High School Diploma, GED, or equivalent
  • Advanced computer skills and proficiency with a Mac. Experience using Google Business Suite and Salesforce.
  • Restoration or Construction field experience is a plus.
